Step-by-step: International Mobility at UFP



Application

Applications that do not follow these steps sequentially and completely will not be accepted:

1 – Nomination procedures
After going through the selection procedures at your home university, the person responsible for Student Mobility must inform the International Relations Office at UFP of the names and study area of all nominated students and their period of studies.

IMPORTANT:
• Applications of students not mentioned in that nomination will not be accepted!

2 – Application forms
Applications are carried out through our
application page for exchange students. Read the procedures carefully before you register and create an account for  your application.

3 – Other mandatory documents
The following documents must be attached to the application form:
• 2 colour photographs, passport size, with name written on the back;
• copy of Identity Card or Passport;
• official Transcript of Records issued by your University in English language;
• Learning Agreement


IMPORTANT:
• without these photos and a copy of an identification document, we cannot register you as a student at UFP. This means no student number, no access password, no student card and no course registration.
• without an official Transcript of Records in English, we cannot approve your selection of courses to perform at UFP.

4 – Preparing your study plan

Discuss with your Departmental Coordinator the courses that you have to perform at UFP. Most courses are available in Portuguese and some in English language. You can check the list of available courses in English at our
webpages: 1st Cycle and 2nd Cycle. The complete list of courses given in Portuguese (and a translated description of most syllabi) is available at http://ri.ufp.pt.
If you have any doubts concerning a specific course, please contact the Departmental Coordinator responsible for that scientific area at UFP (check our section “
Who to contact and why”).

IMPORTANT:

• The sooner you send us a study proposal, the sooner we will be able to validate it or make the necessary remarks.
• All study proposals must be filled in an official
Learning Agreement form, which can also be found as part of our application form.
• Normally, exchange students may apply to take courses at level 1 (first cycle). You can only apply to second cycle courses if you have already completed the equivalent to 180 ECTS. All course choices are subject to timetabling and the previous study which applicants have undertaken. Advice will be offered by the relevant Departmental Co-ordinator where appropriate.
• Logically, students can only choose courses which are available in the semester they are attending at UFP. You can check these restrictions at our webpage.
• Learning Agreements which are not signed and stamped by the coordinators from your home university and by the student will not be accepted.
• All information required in the Learning Agreement is mandatory. This includes the name and Erasmus code of your home university (when applicable) as well as the study area. Course codes, when available, will allow us to register you for the exact course you need.

5 – Sending the application
The complete application with all necessary documents (printed application form, transcript of records, learning agreement, 2 photographs and a copy of identity document) must be sent before the established deadline to:

IMPORTANT:
• Applications sent after the deadline may fail to be accepted.
• Incomplete applications will not be accepted.


Deadlines for sending the application:
21th June, for Autumn semester or full academic year
19th November, for Spring semester

6 – Acceptance
You will be informed of your application’s result only after we receive the documents as explained above.
We will e-mail the students’ acceptance:
- by the end of July, for those students coming for the 1st semester or full academic year, and
- by the end of December, for those students coming for the 2nd semester.
Students who need an acceptance letter for a visa will only receive it after sending the complete application form with all required documents.

IMPORTANT:
• All communications between UFP and the selected students will be made through the email given in the application form! Students who don’t check their email regularly will be responsible for any failure in following our instructions.
• If you have been selected for our Students' Hall of Residence, you will be also informed through email. The payment of a deposit fee in advance may be required.
• Students who require a visa to study in Portugal are responsible for making all the necessary arrangements at the Portuguese consulate in their country of residence before coming to Portugal. They are required to present a visa at the International Relations Office upon their arrival.

Accommodation

Students can apply for a room at our Hall of Residence, together with their mobility application.
Applications for accommodation after the established deadline will not be accepted.
Students who are not selected to our Hall of Residence and those who have not applied are responsible for finding their own accommodation. The International Relations Office can give you some contacts of private housing offers, when available.
Accommodation arrangements must be made before your arrival, even if just for a temporary place to stay (e.g. Youth Hostel, hotels, etc.)
The International Relations Office will not be able to help you if you arrive in Porto without a place to stay.

Before coming to Porto

Don’t forget to make an appropriate Health Insurance, to cover any problems you may have during your stay in Portugal. You can also request a European Health Insurance Card if available at your country of origin.
Always ask for confirmation that the accommodation you have booked is available for your date of arrival.
Check your e-mail regularly to have the latest information regarding your study period at UFP.
Check our
academic calendar before planning your trips and before signing your Erasmus contract. Don’t forget to arrive 3-5 days before the beginning of classes, to ensure a good start in your everyday life in Porto. Also, you will only need to stay for the examination period at the end of the semester if you fail the continuous evaluation system.
Contact your Departmental Coordinator at UFP by email if you have any doubts about your courses. Take the opportunity to introduce yourself and to schedule an appointment for your first days in Porto with your coordinator.
Students must inform the International Relations Office of their exact date of arrival. This information should be sent by e-mail as soon as possible.

Your first days in Porto

When you arrive in Porto, you can go directly to the Students' Hall of Residence, if you have received a previous confirmation of your room. The payment of the first month of rent will be made upon your arrival. If you are not staying at our Hall of Residence, go straight to your previously arranged accommodation (hotel, apartment, etc).
After unpacking and settling down, go to the International Relations Office, located on the top floor of the Rectory building (main address), to present any documents you may have from your home university and to receive important information.
You will have to provide the International Relations Office with your address in Porto and the Portuguese phone number you will be using, so we can contact you in case of emergency.
If you have followed all the steps above, your timetable for classes will already be available on-line.
Before starting to attend classes, contact your
Departmental Coordinator at UFP (if you haven’t done it yet) to schedule an appointment.
If you have any conflict with your classes in the timetable, your Departmental Coordinator will assist you with any changes that you need to make to the original study plan. It can also happen that a certain course becomes unavailable because of an unexpected reason.

Students with a residence visa may need to register their arrival with the Foreign Service ("SEF") within the first two days after arriving. For more information on registration procedures and penalties, please contact the Foreign Service directly (http://www.sef.pt).

Class attendance and changes to the original study plan
UFP uses ECTS as both a credit transfer and accumulation system. 20 point grading system applied for the assessment of examinations, projects, essays, tests and other tasks. Knowledge is assessed through continuous evaluation. In the Portuguese System the marks are expressed out of twenty – the pass mark is 10/20 and the highest is 20/20. Class attendance is mandatory in, at least, 40% of the given lessons. In practical and laboratorial courses presence in at least, 70% of classes is required. In the Health Sciences Faculty, class attendance is mandatory to 60% of theoretical classes, 80% of practical and laboratorial courses and 90 % of clinical courses.

IMPORTANT:
• Don’t change the original study plan without first discussing that possibility with your home university and your coordinator at UFP.
• Changes in your Learning Agreement must be made through an official form, which is delivered at the International Relations Office, after being signed by the Departmental Coordinator.
• You have two weeks, after the semester begins, to make any changes to your Learning Agreement. Unjustified changes or changes made after this deadline will not be processed.
• If you do not respect these rules you will be responsible for all consequences, which include:
-Not being properly registered for the courses you wish to add to the original study plan;
-Not fulfilling the necessary credits and being in breach of your Erasmus contract;
-Not being formally evaluated at the classes you have been attending.

VERY IMPORTANT:
The International Relations Office will not issue any grades related to courses that you were not properly registered for.
Don’t forget: UFP has a continuous evaluation system. This means you have to attend the established number of classes and follow the evaluation tasks during the semester in order to be approved at each course. Erasmus/exchange students have to follow the same evaluation rules as regular students, with no exceptions.

Before leaving Porto

At the end of the semester, if you have been approved at the necessary evaluation procedures, you will not need to perform any exams.
If you are failing a specific course, you will need to inform the International Relations Office, to check the availability for an exam at that course.
Bring all the necessary documents to the International Relations Office (such as Certificates of Attendance) to be signed before your departure. Don’t wait for the last day.
Your grades will be sent directly to your home university as soon as they become available in our computer system (this may take some weeks, after your departure).
Students must leave the Students’ Hall of Residence immediately after the end of regular classes (normally during the end of January / May). We cannot guarantee accommodation during the exam season, so you may need to find alternative accommodation. As you can understand we need those rooms for the students of the following semester and summer courses’ students.
